Invoice is a locally-developed app that enables small Australian businesses with a valid ABN that currently create quotes or invoices with pen and paper and calculator to digitally create and print, email or SMS Tax Invoices and Quotes.
Invoice speeds up invoice and quote creation, reduces errors, improves productivity in the invoice creation process and therefore reduces the next customer's waiting time.
By scanning barcodes or entering item codes and allowing the iDevice to look up descriptions and prices and to perform all the calculations, errors and subsequent re-keying are reduced and the whole sale-finalisation process is faster. The customer receives a legible Quote or Tax Invoice where the numbers add up. This in turn reduces the next customer's waiting time.
Items are stored internally with their part code, description, optional barcode, price and unit of sale eg each, hour, meter, bushel etc.
The item barcodes can be scanned with an iPhone or iPad with a camera, the quantity entered and the item added to the invoice. Items can also be added to the invoice by entering the item code.
Simple customer information can also be stored e.g. Name, address, email address, phone number and usual discount, if any. The app can send bulk emails to many or all customers or send an SMS to selected customers.
Printing or emailing a quote or invoice involves selecting the customer from the list of customers, specifying the discount, if any, and then tapping the print or email button to generate a preview of the invoice. The discount and GST are applied and the total shown on the quote or invoice. This can then be printed on a wireless printer or via your Mac or PC using AirPrint or inexpensive software on the Mac or PC that enables wireless printing. Some software can even open the invoice on the Mac or PC for subsequent faxing or emailing.
The quote or invoice can also be emailed or sent via SMS (on iOS7+) from within the app. The invoice can also be sent to/stored in iBooks which allows the invoices to be organised, printed and shared.
Invoices can be marked as paid via Cash, Cheque, Credit Card and Bank Transfer (EFT).
This app runs on iPhone, iPod and iPad. Successful scanning of barcodes depends on the resolution of the device's camera.
If there are two devices on the same wireless subnet running Invoice then any changes to invoices, customers, prices or the company details made on one device are (optionally) immediately sent to the other device. This feature is enabled in the Settings app. This enables an iPhone to be used to scan the items for the invoice, and then an iPad used to finalise and check the invoice before printing it. Of course the iPhone can do all these steps as well.
The database in the device can also be sent at the push of a button to another device running Invoice to ensure the two devices have the same data. Invoice can also email a copy of its database: good for backup purposes. A preference in the Settings app causes the app to alert the user if the database has not been emailed in the previous week.
Invoice is customisable with an optional company logo, ABN, Order Number, two footer lines for general company information such as phone number, hours of business, web site address etc. The company's EFT banking information can also be stored and printed on invoices. The logo can be selected from Photo Library or via iTunes File Sharing.
The In-App Purchase removes the following limits and restrictions:
* The number of Invoices is unlimited rather than 5
* Invoices can be deleted
* Items can be removed from an Invoice
* The number of customers is unlimited rather than 5
